General Information
Companies often face the challenge of sharing central IT resources not only with internal employees/colleagues but also with external administrators so they can manage and process them.
For this reason, the internex Terminal offers the option of bundling multiple products in a single project – so-called clouds.
Further information can be found in the article: What is a Cloud?
Using "Terminal Cloud Sharing," you can share created clouds and their contents with external partners for management and processing.
Please note that managed servers are customized solutions that cannot be managed via the terminal, and therefore cannot be moved or shared.
If you wish to grant access to your managed server to a third party, please contact our support team at [email protected]
Requirements
A) internex Account for the administrator or the administrator's organization
Terminal Cloud Sharing requires a dedicated (free) internex account for your administrator or their organization.
If the administrator or their organization does not yet have an internex account, one can be created here: https://terminal.internex.com/register
Business customer accounts allow the creation of multiple users with logins.
Further information on account creation can be found here: Which email address should I use to log in to the terminal?
B) Sharing Partnership
The administrator's internex account requires a one-time activation of the cloud sharing partnership with internex. Instructions for setting this up can be found in the article: How do I activate the cloud sharing partnership?
After confirmation, internex will review the request and then activate it. Only after this activation can cloud shares be accepted from customers.
C) Partner's Organizational Domain
In addition, an organizational domain must be registered and verified in the administrator's account. This domain typically corresponds to the partner's company email domain (e.g., exampleagency.at).
A customer can only grant access to their cloud to email addresses whose domain has been previously verified as the organizational domain in the partner's account. Further information and instructions on how to set this up can be found here: How do I set up an organization domain?
Note regarding private accounts: Directly accepting cloud shares in the terminal is only possible if an organizational domain has been configured in the partner account.
However, this is only possible with business accounts. Therefore, cloud sharing via internex must be manually configured for private customer accounts. Please contact [email protected] for assistance.
D) Starting Cloud Sharing
Once the basic requirements have been met, you can begin initiating terminal cloud sharing.
1 - Log in
First, log in to the customer area at terminal.internex.com.
If you have already moved your products to a separate cloud, you can skip directly to step 4.
Otherwise, proceed to step 2.
2 - Create a Cloud
2.1 - Add an Additional Cloud
Your account contains the main cloud by default. For security reasons, this cannot be shared with third parties. To share products with external partners, you must first create a new cloud.
To create a new cloud, click "Create Cloud" in the left-hand menu.
2.2 - Naming the Cloud
Enter a name for your cloud here and optionally add a description and an icon. Then click "Create".
3 - Moving a Product
3.1 - Cloud Manager
Your account now contains at least two clouds – in our example, the main cloud with your company name (“Example GmbH”) and the cloud that will later be shared (“Example Cloud”).
The product you want to share with a third party must now be moved from the main cloud to the corresponding target cloud (“Example Cloud”).
To do this, click “Select this cloud” in the main cloud.
3.2 - Opening a Product
In the main cloud, navigate to the product you want to share. All products located in the cloud are displayed in the cloud overview further down the page. There, they are grouped according to their respective management modules.
In our example, we want to share a domain. You can find it in the "Domains" box. Clicking on the domain name will take you directly to the domain's details page.
Alternatively, you can first select the relevant module and then search for the domain in the list. The "Domain Manager Pro" module can be found in the top menu under "Domain & E-Mail."
Click on the desired domain in the list - in our example, "domain.tld" - to open the details view.
3.3 - Cloud Assignment
Click on the three dots next to the product name – in our example, next to the domain name – and then select the menu item “Cloud Assignment”.
3.4 - Moving entity into another Cloud
Now select the cloud you want to share later.
The following window will display an overview of the permission changes. Here you can see which users will gain access after the move and which users will no longer have access to the product. This allows you to review the effects of the action.
Then click "Move."
After the move is successful, you will be automatically redirected to the selected cloud.
4 - Approval Process
The approval process is a three-step process:
Initiation by the sharer (infrastructure owner)
Acceptance by the sharing-receiver
Final approval by the sharer
4.1 - Initiation by the sharer
4.1.1 - Share
Navigate back to the Cloud Manager and, for the cloud you want to share, open the three-dot menu in the upper right corner of the window.
Please note: For security reasons, the main cloud cannot be shared with third parties.
Then select the "Share" menu item.
4.1.2 - Share Cloud
Switch to the "Share Cloud" tab and enter the email address of the internex user who should have access to the cloud.
Please note: The recipient of the share must first create their own internex account: https://terminal.internex.com/register
This account must then be activated as a Cloud Sharing Partner.
Instructions for this can be found in the article: How do I activate the Cloud Sharing Partnership?
Then click "Send" to initiate the sharing.
4.2 - Acceptance by the sharing-receiver
4.2.1 - Cloud Sharing Request
The recipient of the cloud sharing request will receive an email with a confirmation link.
This link must be opened by the recipient to accept the sharing request and proceed.
4.2.2 - Share Requests
The recipient of the cloud share should carefully review the displayed information.
The Client ID of the account requesting the cloud share can be used for unique identification.
Further information about the Client ID can be found in the article "What is the Client ID and where can I find it?"
After successful verification, the share can be confirmed by clicking "Accept".
4.2.3 - Accept share request
After clicking "Accept," a new window opens. A cloud administrator must be selected there, who will then be granted access to the shared cloud.
Information about the permission structure can be found in the article "What permission roles exist in the internex Terminal?"
The recipient of the cloud share selects the appropriate user and confirms the process again by clicking "Accept."
4.2.4 - Share requests
Cloud sharing requests are now displayed under "Share requests" for the recipient. There you will find an overview of the sharing process and its current status.
4.3 - Final approval by the sharer
4.3.1 - Completing Cloud Sharing
The initiator of the cloud sharing (i.e., the sharer) also receives an email with a confirmation link to the customer portal.
As the initiator, open this link to finalize the sharing and complete the process.
4.3.2 - Pending share accesses
In the cloud sharing portal, you will now be prompted to verify the approval using the recipient's partner ID.
For more information about the partner ID, see the article "How do I activate the cloud sharing partnership?"
After successful verification, click "Release" to finalize the approval.
4.3.3 - Release Duration
Now select whether the release should be permanent or have a temporary end date and click "Release" again.
5 - Conclusion
Cloud sharing has now been successfully set up. The recipient should now be able to see and manage the shared cloud in the Cloud Manager, as shown in the screenshot.
